This policy explains what personal data we collect, why we collect it, and how we handle it under the UK GDPR and Data Protection Act 2018.

What we collect

When you book

We collect your name, phone number, email, property address, number of bedrooms, preferred date and time, parking details, and any notes you provide. This is used to arrange and carry out your assessment and to lodge the certificate on the government register.

Legal basis: Performance of a contract (Article 6(1)(b)).

Payments

Payments are processed by Stripe. We never see or store your card details. Stripe is PCI-DSS Level 1 certified and acts as an independent data controller for payment data.

Phone, email, or WhatsApp

If you contact us directly, we keep a record of that communication to handle your enquiry.

Legal basis: Legitimate interests (Article 6(1)(f)).

Cookies

We use Google Analytics to understand how visitors use our site. This collects anonymous data such as pages visited and time on site. No personally identifiable information is collected. You can reject analytics cookies when you first visit. We do not use cookies for advertising.

Who we share data with

  • Government EPC register: certificates are lodged as required by law.
  • Stripe: payment processing only.
  • Google: anonymous analytics data when cookies are accepted.

We do not sell or share your data with third parties for marketing.

How long we keep data

Booking and contact records are kept for up to 6 years to meet HMRC requirements. Enquiries that don’t lead to a booking are deleted after 12 months. EPCs are held on the government register for 10 years independently of us.

Your rights

Under the UK GDPR you can request access to, correction of, or deletion of your personal data. You can also restrict processing, request data portability, or object to processing based on legitimate interests. We may need to retain certain records for legal or tax obligations.

Complaints

Contact us first at hello@kuboservices.co.uk. You also have the right to complain to the Information Commissioner’s Office (ICO) on 0303 123 1113.

Cancellations and refunds

You can cancel your booking free of charge at any time before the assessment takes place. Contact us by phone on 07424 690 050, WhatsApp, or email.

Once the assessor has attended and carried out the assessment, the service is complete and no refund can be issued. By booking, you consent to the service being performed within the 14-day cooling-off period under the Consumer Contracts Regulations 2013.

Eligible refunds are processed to your original payment method within 5 working days. If you need to reschedule, contact us and we’ll rearrange at no extra cost.
