What data we collect and why

Booking form

When you book an EPC through our website, we collect:

  • Your name
  • Phone number
  • Email address
  • Property address
  • Number of bedrooms
  • Preferred date and time
  • Parking information
  • Any additional notes you provide

Why: To arrange and carry out your EPC assessment, contact you about your booking, and produce the Energy Performance Certificate for lodging on the government register.

Legal basis: Performance of a contract (Article 6(1)(b) UK GDPR). You provide this data so we can deliver the service you have requested.

Payment information

Payments are processed securely through Stripe. We do not collect, store, or have access to your full card details at any point. Stripe acts as an independent data controller for payment data. You can review their privacy policy on their website.

EPC lookup

Our website includes an EPC lookup tool that lets you check existing EPC data for a property by entering a postcode. This queries the government's EPC Open Data API. The postcode you enter is sent directly to the government register and is not stored by us.

Contact by phone, email, or WhatsApp

If you contact us by phone, email, or WhatsApp, we will keep a record of that communication to handle your enquiry and for our own records.

Legal basis: Legitimate interests (Article 6(1)(f) UK GDPR) — to respond to your enquiry and maintain records of our communications.

Cookies and third-party services

Google Fonts

We load fonts from Google's CDN (fonts.googleapis.com). When you visit our site, your browser makes a request to Google's servers to download the font files. Google may log your IP address in connection with this request. Google's privacy policy applies to this data.

Google Analytics

When enabled, we use Google Analytics to understand how visitors use our website. This collects anonymous usage data such as pages visited, time on site, and general location (not precise). Google Analytics uses cookies to distinguish users. No personally identifiable information is collected through Analytics.

Essential cookies

We do not use any cookies for advertising or tracking beyond what is described above. Any cookies set are functional or analytical only.

Who we share your data with

We only share your personal data where necessary:

  • Government EPC register: Your property's EPC is lodged on the official register as required by law. This is a legal obligation.
  • Stripe: Payment processing only. Stripe is a PCI-DSS Level 1 certified payment processor.
  • Google: Anonymous analytics data (when enabled) and font delivery as described above.

We do not sell, rent, or share your personal data with any other third parties for marketing purposes.

How long we keep your data

We retain your booking and contact information for up to 6 years after the service is completed. This aligns with HMRC record-keeping requirements for self-employed businesses and allows us to respond to any queries about past assessments.

EPCs are valid for 10 years and are held on the government register independently of us.

If you contact us with an enquiry that does not lead to a booking, we keep that correspondence for up to 12 months before deleting it.

Your rights

Under the UK GDPR, you have the following rights regarding your personal data:

  • Right of access: You can request a copy of the personal data we hold about you.
  • Right to rectification: You can ask us to correct any inaccurate or incomplete data.
  • Right to erasure: You can ask us to delete your data where there is no compelling reason for us to continue holding it. Note that we may need to retain certain records for legal or tax obligations.
  • Right to restrict processing: You can ask us to limit how we use your data in certain circumstances.
  • Right to data portability: You can request your data in a commonly used, machine-readable format.
  • Right to object: You can object to processing based on legitimate interests.

Cancellation and refund policy

When you book an EPC assessment through our website, you enter into a distance contract under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.

Your right to cancel

You may cancel your booking free of charge at any time before the assessment visit takes place. To cancel, contact us by phone on 07424 690 050, by WhatsApp, or by email at hello@kuboservices.co.uk.

When a refund cannot be issued

Once the assessor has attended the property and carried out the assessment, the service has been fully performed and no refund can be issued. By booking an assessment date, you expressly consent to the service being performed within the 14-day cancellation period and acknowledge that you will lose your right to cancel once the service has been completed.

How refunds are processed

If you are entitled to a refund, we will process it to the original payment method within 5 working days. Refunds typically appear on your statement within 5 to 10 working days, depending on your bank or card provider.

Rescheduling

If you need to change your appointment date or time, contact us and we will rearrange at no extra cost, subject to availability.
